Position Details

  • Job Title: Receptionist / Administrative Assistant
  • Location: 16622 Oakmont Avenue, Gaithersburg, MD 20877 (In-Office)
  • Employment Type: Full-Time (Part-Time Considered)
  • Pay: $17.00 – $19.00 per hour, based on experience
  • Schedule: Monday–Friday (daytime hours)

What You’ll Do

As our Receptionist / Administrative Assistant, you’ll be the first point of contact for our clients and the organizational backbone of our office. Your day-to-day responsibilities will include:

  • Answering incoming calls and responding to client inquiries professionally and promptly
  • Scheduling and coordinating service appointments for field technicians
  • Sending follow-up emails and appointment confirmations to clients
  • Managing and organizing office records, invoices, and client files
  • Processing payments and handling basic bookkeeping tasks
  • Updating our scheduling software and customer database (CRM)
  • Assisting the owner with day-to-day administrative tasks
  • Responding to online reviews, messages, and client feedback
  • Helping coordinate marketing tasks such as email campaigns or social media posts (a plus, not required)
  • Maintaining a clean, organized, and welcoming office environment

Pay & Benefits

  • 💰 $17.00 – $19.00 per hour based on experience and performance

Requirements

  • High school diploma or equivalent
  • Ability to read, write, and speak English fluently — required for client communication, proper scheduling, and to ensure accurate service instructions are conveyed to field technicians (miscommunication can result in property damage or safety risks)
  • Strong phone and customer service skills — friendly, professional, and patient
  • Basic computer skills: email, Microsoft Office or Google Workspace, scheduling software
  • Organized, detail-oriented, and able to manage multiple tasks at once
  • Reliable and punctual — our clients and crew depend on you
  • Must be able to pass a background check
  • Positive attitude and team player mindset

Preferred Qualifications

  • Prior experience as a receptionist, administrative assistant, or office manager
  • Experience with scheduling or dispatching in a service-based industry
  • Familiarity with CRM software, QuickBooks, or similar tools
  • Experience handling customer complaints or service recovery situations professionally
  • Veterans and military spouses are strongly encouraged to apply
